The Challenge

Exane Group sought a Facilities Manager to oversee maintenance and facilities services at their central London offices. This pivotal role required the successful candidate to ensure the safe, efficient, and effective provision of services, manage the day-to-day activities of the facilities team, and maintain high standards across all operations. Key responsibilities included:

• Ensuring the technical availability of all facilities.

• Planning and organising preventive maintenance of all equipment.

• Implementing technical recommendations in connection with the Business Continuity Policy.

• Maintaining and updating technical documentation of the premises.

• Managing the facilities helpdesk and providing timely resolutions to issues.

• Overseeing general maintenance, including liaising with maintenance companies for planned preventative maintenance (PPM) works and organizing repairs.

• Coordinating office moves and fit-out work, often conducted out of business hours.

• Supporting on-site events and ensuring compliance with health and safety regulations.

• Procuring necessary supplies, controlling invoices, and optimising costs.

• Monitoring and managing facilities third-party vendors and contracts.

• Managing the facilities assistant and apprentice.

The ideal candidate needed relevant experience in facilities management within a professional services or financial company, an IOSH/NEBOSH qualification, strong client service skills, a good understanding of health and safety rules, and proficiency in Microsoft Office. A technical background and knowledge of French were advantageous.
